WHAT WE'RE LOOKING FOR

We are seeking a seasoned Executive Assistant to support the Head of Product & Agent Development at a fast-growing, in-person AI company. This is a strategic, high-trust role supporting a senior executive who travels frequently, sits at the center of the company's product cycles, and serves as a key external voice for the company.

 

The ideal candidate is a polished, proactive professional with deep experience supporting C-suite executives who operate globally and at pace. You will thrive in ambiguity, take initiative without being asked, and partner with a leader who is thoughtful, deeply engaged in product, and balancing significant external and internal demands. This role requires someone who can read between the lines, problem-solve independently, and keep things moving—even when the executive is hard to pin down.

 

This role is foundational to the company’s executive support function. You'll partner closely with the existing EA team and serve as a trusted right-hand to a leader managing a 270-person organization that continues to grow rapidly.

 

WHAT YOU'LL DO

  • Provide comprehensive executive support to the company’s Head of Product & Agent Development, who leads a 270-person product, engineering, and design organization
  • Proactively manage complex calendars, meetings, and travel across nine direct reports, broader leadership, and external stakeholders
  • Coordinate frequent domestic and international travel, including across EMEA & APAC time zones, with careful attention to logistics, agendas, and pre-travel prep
  • Anticipate needs several steps ahead, surface conflicts, and resolve issues independently—including when the executive is in back-to-back meetings or slow to respond
  • Prepare the executive ahead of every meeting with briefing materials, context, and clear priorities
  • Manage logistics for recruiting events, customer meetings, and external speaking engagements, including occasions when the Head of Product & Agent Development represents the company on behalf of the Co-Founders
  • Draft internal and external correspondence on behalf of leadership, serving as a credible and professional representative of the product organization
  • Partner closely with the EAs supporting the Co-Founders and the broader admin team to ensure alignment across the executive office
  • Coordinate offsites, leadership team meetings, and rituals tied to the product development cycle
  • Maintain a high level of confidentiality and discretion with sensitive information, product roadmaps, personnel matters, and strategic communications
  • Establish new—and continuously improve—administrative systems and processes in support of a rapidly scaling product organization

 

WHAT YOU BRING

  • 10+ years of Executive Assistant experience, including direct support of C-suite executives leading global organizations
  • Experience supporting Chief Product Officers, Chief Technology Officers, or other product/engineering C-suite leaders
  • Familiarity with AI, software development, or developer-facing product environments
  • Demonstrated ability to build and scale administrative systems in an evolving organization
  • Demonstrated ability to support a heavily traveling executive, including international travel and coordination across EMEA and APAC time zones
  • Proven ability to operate independently and make sound judgment calls on behalf of leadership
  • Strong ability to build relationships and partner effectively with cross-functional teams, board members, and external partners
  • Excellent time-management skills, with the ability to quickly shift priorities while staying ahead of the executive's needs
  • High degree of discretion, integrity, and sound judgment with sensitive information
  • Advanced proficiency with Google Suite & Slack
  • Willingness and ability to work on-site in San Francisco 4 days per week, with flexibility on hours to accommodate global meetings and a long-hours operating cadence
  • Willingness and ability to travel with the executive as needed
