WHAT WE'RE LOOKING FOR

A Mission-driven nonprofit strengthening the venture capital ecosystem is seeking a Manager, Administration to provide high-level operational, administrative, scheduling, office management, and coordination support to the Executive Director and broader organization.

This role will help the Executive Director stay focused on the highest-value priorities: strategy, fundraising, partnerships, board engagement, external relationships, and organizational leadership. The Manager, Administration will own the ED's calendar and meeting coordination, support board and stakeholder logistics, manage office operations, help document engagement in Salesforce, and build administrative systems that keep the organization running smoothly.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing schedules, meetings, follow-ups, office needs, records, documents, logistics, and competing priorities in a fast-moving, relationship-driven environment. This role can be structured as full-time or part-time.


WHAT YOU'LL DO

  • Manage the Executive Director's calendar, scheduling, meeting requests, holds, reschedules, and follow-ups

  • Help prioritize the ED's time across internal meetings, board work, donor/sponsor conversations, partner meetings, and external events

  • Coordinate logistics for meetings, calls, travel, speaking engagements, and stakeholder touchpoints

  • Prepare the ED for meetings by ensuring relevant agendas, materials, context, and next steps are organized in advance

  • Serve as a polished, responsive point of contact for scheduling with board members, donors, sponsors, partners, and speakers

  • Support preparation for internal and external meetings, including agendas, materials, notes, action items, and follow-up tracking

  • Track follow-ups from ED-led meetings to ensure commitments do not fall through the cracks

  • Coordinate weekly team meetings, leadership check-ins, board prep meetings, and other recurring cadences

  • Coordinate board meeting logistics, calendar holds, RSVPs, materials timelines, reminders, and post-meeting follow-up

  • Support preparation of board and committee materials, including document organization, formatting, version control, and distribution

  • Manage travel planning, expense reporting, invoice routing, vendor coordination, and recurring administrative workflows

  • Oversee day-to-day office management, including supplies, shared spaces, and building/facilities coordination

  • Track and document key stakeholder engagement in Salesforce, including meetings, touchpoints, follow-ups, and relationship notes

  • Support hiring and onboarding logistics, including scheduling interviews, coordinating materials, and preparing onboarding plans

  • Assist with event and program logistics when executive or high-priority stakeholder coordination is required

  • Identify opportunities to improve administrative systems, office workflows, Salesforce tracking, and internal coordination

WHAT YOU BRING

  • 3+ years of relevant professional experience

  • Experience in executive support, operations, project coordination, administration, nonprofit operations, venture capital, startups, professional services, or related fields

  • Demonstrated experience managing complex calendars, meetings, logistics, and follow-up systems

  • Experience supporting senior leaders, boards, donors, investors, executives, or external stakeholders

  • Excellent organizational and time-management skills

  • Strong attention to detail and follow-through

  • High judgment, discretion, and professionalism

  • Strong written and verbal communication skills, with strong note-taking and document-management skills

  • Ability to anticipate needs, flag risks, and solve problems proactively

  • Calm, responsive, and flexible in a fast-moving environment

  • Strong relationship management instincts and comfort interacting with senior external stakeholders

WHAT YOU BRING

  • Ability to create structure without adding unnecessary bureaucracy

  • Familiarity with tools such as Microsoft Office, Slack, Zoom, Salesforce, Trello, or similar platforms

  • Familiarity with venture capital or a strong interest in the VC ecosystem
