LOCATION

New York, NY (hybrid, 4 days/week)

$150K – $180K base + OT + equity

WHAT WE'RE LOOKING FOR

We're seeking a New York–based Executive Assistant to support two senior leaders at a fast-growing, in-person AI company. This is a pivotal, high-visibility role: you'll be the on-the-ground administrative anchor in a New York office of roughly 200 people—a social, high-energy environment preparing to move from SoHo to Flatiron.

You'll support a new executive joining as Head of AMER—a frequent traveler operating across regions and time zones—alongside the General Manager of Healthcare (Agent Development), who serves as site lead for the New York office. The ideal candidate is an experienced, adaptable professional who thrives when calendars shift constantly, cross-functional coordination is the norm, and proactive ownership matters.

As the first EA on-site in New York, you'll help shape the local administrative function—establishing rhythms, supporting the office's growth, and serving as a trusted partner to leadership. This role rewards craftsmanship, sound judgment, and the ability to anticipate needs across two leaders with very different footprints.

WHAT YOU'LL DO

  • Provide comprehensive executive support to the Head of AMER and the GM of Healthcare (Agent Development), including complex calendar management, international travel, briefing materials, meeting prep, and follow-ups

  • Proactively anticipate scheduling conflicts across both leaders and ensure alignment on daily and weekly priorities

  • Serve as the on-the-ground presence in the New York office, partnering with the New York Office Manager and internal teams across product, engineering, and operations

  • Support in-person meetings, events, and on-site logistics, including executive dinners and team gatherings

  • Draft internal correspondence and act as a credible representative of the leaders you support

  • Plan and execute team events, offsites, and gatherings as needed

  • Maintain a high level of confidentiality and discretion with sensitive information and communications

WHAT YOU BRING

  • 5+ years of Executive Assistant or similar strategic support experience

  • Demonstrated ability to support multiple senior leaders simultaneously, adapting to varying communication styles and working preferences

  • Experience coordinating complex international travel across multiple time zones

  • Strong ability to build relationships and partner effectively with cross-functional teams

  • Excellent time-management skills, with the ability to quickly shift tasks and priorities while staying organized and proactive

  • Comfort operating as the first or sole EA in an office, establishing structure and presence

  • High degree of discretion, integrity, and sound judgment

  • Advanced proficiency with Google Suite & Slack

  • Willingness and ability to work on-site in New York regularly, with periodic travel to San Francisco

NICE TO HAVE

  • Experience supporting C-Suite or SVP-level leaders

  • Previous work in a fast-growing startup environment

  • Experience being the first EA in a new or growing office

  • Familiarity with AI, software development, or developer-facing product environments
